Connecting to Intuit QuickBooks Online

Overview

This article describes how to add Intuit® QuickBooks® Online as a datasource in BrightGauge.

Requirements

  • Only Master Administrator and Company Administrator users can authorize access to a QuickBooks company.
  • Only one user at a time can be connected to a given company. Please refer to the QuickBooks documentation for more information on user access.

Connect the QuickBooks Datasource

To connect the QuickBooks datasource:

  1. Log in to your BrightGauge account.
  2. Navigate to DATA > Datasources.

  3. Click Add a New Datasource.
  4. Select Finance.

  5. Select QuickBooks Online.
  6. Click Authorize in QuickBooks.
  7. Sign in to your QuickBooks account.
    Note: Log in with a user account that has view access for customer information, otherwise the integration may fail with inadequate permissions.
  8. Allow BrightGauge to access your QuickBooks company file. The window closes and a successful test connection shows in BrightGauge.
  9. Name the Datasource.
  10. Click Save

Dashboards, reports, datasets, and gauges will be added to your account after the datasource is saved. They will start syncing immediately and typically complete syncing after 20-30 minutes. 

 

Your Default Dashboards

  • BGS - COGS Detail
  • BGS - Expenses Detail
  • BGS - Financial Overview
  • BGS - Revenue Detail

Your Default Reports

  • BGS - Financial Performance
  • Monthly Expenses Review
  • Quarterly P&L Review
  • Weekly Account Review

Your Datasets

To locate your datasets, navigate to DATA > Datasets.

Bills Pulls data for bills.
Bills Line Item Detail Pulls data for line items in bills.
Customers Pulls data for customers, including current balance.
GL Accounts Pulls current information for all accounts displayed in the chart of accounts.
Invoice Line Item Detail Pulls line item data for invoices.
Invoices Pulls data for invoices dated within the last 730 days.
Journal Entries Last 365 Days Pulls data for journal entries entered into QuickBooks with a transaction date within the last 365 days.
Profit and Loss Detail Pulls profit and loss data from the current and previous calendar years.

For a list of all default gauges, please visit the Gauges section of your account, sort by the datasource, and select for Default.
